10.6 Facility Equipment Maintenance
At each warehouse location, maintenance of the facility, grounds, and equipment, including forklifts, forklift attachments, and yard trucks, is managed by the parent company, M Gerace Enterprises. M Gerace may perform maintenance and repairs in-house or subcontract them to a local vendor, depending on the warehouse location. M Gerace maintains records of scheduled preventative maintenance services and subcontracted repairs. The warehouse will perform daily inspections of equipment in use and communicate any deficiencies, breakdowns, and safety concerns to M Gerace. The warehouse location will also monitor the condition of the facility and grounds during their weekly warehouse inspections. Corrective actions pertaining to facility maintenance are directed to M. Gerace and/or their designated vendor. Each warehouse is responsible for tracking the status of requested repairs and corrective actions.
Equipment Inspections
The warehouse location will perform a daily inspection of the equipment in use. The first equipment operator conducts the inspection, and the inspection form used is the Forklift Operator’s Daily Checklist (FODC). When using this form, the operator will check off any defects found, and there is a section at the bottom for further description of the defect.
A copy of the FODC is turned in to the shipping office at the start of each shift. Whenever defects are recorded, a copy of the FODC will also be presented to the Warehouse Manager, who will decide if the equipment is to be placed out of service.
If a defect is recorded, a copy of the FODC is sent to the maintenance vendor to advise them. The maintenance vendor will notify us when repairs are complete, and the equipment can be returned to active service.
The Warehouse Manager will also retain a copy of any FODC with recorded defects and is responsible for verifying that the defect recorded is repaired promptly.
Equipment Breakdown
The Forklift Operator’s Daily Checklist is also used whenever equipment breaks down during daily operations. In this case, a new FODC is completed to record the defect, and a copy is attached to the steering wheel to ensure anyone attempting to use the equipment is aware of the defect.
Documentation
A copy of the FODC is scanned by the shipping office and uploaded to a folder in the Shared Drive.
When defects are recorded on the FODC, the Warehouse Manager will retain a copy until the defect is corrected. When repairs are complete, the Warehouse Manager will note the repair date on the FODC and then scan and upload the completed FODC to the Shared Folder.
Verification
The Food Defense Coordinator will monitor the shared folder, conduct monthly inspections to verify that equipment inspections are performed in accordance with this procedure.
Facility Maintenance
At each warehouse location, the property owner is responsible for maintaining the facility in compliance with GWSI Food Safety standards. The warehouse will monitor the facility’s condition using weekly warehouse inspections.
